About the Role
At Pavago, one of our clients is hiring a Client Operations Manager to oversee client delivery, project execution, and operational workflows across multiple accounts.
This is a high-ownership role where you’ll manage client communication, drive accountability, track deliverables, and build scalable systems that keep projects moving forward. You’ll work closely with clients and internal teams to ensure consistent execution while reducing day-to-day founder involvement.
Responsibilities
Client Operations & Communication
• Serve as the primary point of contact for client communication.
• Manage communication across Slack, WhatsApp, Google Workspace, and similar platforms.
• Conduct regular client check-ins to track progress, priorities, and blockers.
• Maintain clear communication and alignment across stakeholders.
Project & Delivery Management
• Manage multiple client workstreams and project trackers.
• Ensure deliverables are completed accurately and on time.
• Identify priorities, monitor progress, and resolve execution gaps.
• Proactively identify risks and remove blockers to keep projects moving.
Process Improvement & Automation
• Build and improve SOPs, workflows, and operational processes.
• Identify inefficiencies and implement scalable solutions.
• Create automations for reporting, tracking, and notifications using modern automation tools.
• Leverage AI tools to improve operational efficiency.
Team Coordination
• Coordinate cross-functional teams to ensure accountability and timely delivery.
• Monitor timelines, deliverables, and project outcomes.
• Foster strong collaboration while maintaining execution standards.
Hiring Support
• Assist with resume screening and initial candidate evaluations when needed.
• Provide structured feedback to support hiring decisions.
Required Experience & Skills
• 3–5 years of experience in operations, project management, Chief of Staff, account management, or similar roles.
• Experience managing multiple clients or projects simultaneously.
• Proven experience creating SOPs, workflows, and operational systems.
• Strong client-facing communication and stakeholder management skills.
• Excellent organizational, problem-solving, and time management skills.
• High level of ownership and attention to detail.
Nice to Have
• Experience scaling operations in startup or high-growth environments.
• Experience with Zapier, Make, Airtable, Notion, or similar automation tools.
• Familiarity with AI-powered workflow tools such as n8n.
• Experience improving operational processes through automation.
What Success Looks Like
• Clients receive consistent, high-quality delivery.
• Projects stay on schedule with minimal operational gaps.
• Scalable systems and workflows improve team efficiency.
• High client satisfaction and retention.
• Reduced founder involvement in day-to-day operations.
Interview Process
• Initial Recruiter Screening
• Recruiter Interview
• Final Client Interview
• Offer & Onboarding
What Happens After You Apply
Right after you apply, you’ll receive an email invitation from Spark Hire to record your Intro Video . This short, self-recorded video is the final step that completes your application.
Instead of repeating your background through multiple screening calls, you’ll introduce yourself once, allowing hiring managers to evaluate your communication style before interviews begin. This helps make future conversations more meaningful while reducing unnecessary interview rounds.
You can record your video as many times as you’d like before submitting. Only your final submission will be reviewed. Please keep an eye on both your inbox and spam folder for your Spark Hire invitation.
